The Opportunity:
Reporting to the President & CEO, the Executive Assistant (EA) provides administrative support in a dynamic environment characterized by changing deadlines, sensitive issues and shifting priorities. The EA is an essential person within our leadership office – improving the effectiveness and efficiency of the CEO’s work by providing complex administrative support in project management and scheduling, donor relations, communications, event organization, and board governance.
What You’ll Do:
- Organize and manage the day-to-day activities of the CEO’s office to ensure professional, efficient and effective office operations
- Perform administrative duties like preparing presentations, meeting packages, agendas, minutes, briefing notes and surveys, managing spreadsheets and action items, and maintaining policies and procedures
- Work with donors, volunteers, senior leaders, hospital staff, suppliers and members of the Board of Directors
- Work on queries, exporting and formatting Excel files for reporting, stewardship, recognition and pipeline development; help maintain our donor database

You have a learning mind-set, you’re ready and willing to tackle a wide range of tasks and challenges, and you thrive in a fast-paced environment where professionalism, confidentiality, discretion and tact are paramount. You’re warm, enthusiastic and engaging, with strong administrative, technology, social, and communication (written and verbal) skills to support your daily interactions with donors, senior leaders and members of the Board of Directors. You’re self-motivated and self-directed, and you know how to effectively manage your time between daily responsibilities, high priority requests and long-term projects.

What You Offer:
You have a university education in a related field and a minimum of five years’ experience in executive administration in a fast-paced office environment, dealing effectively and positively with multiple stakeholders and competing priorities. Ideally, you’ll also have/be:
- Passionate about supporting world-class patient care at our hospital!
- Excellent interpersonal and relationship building skills; be service oriented with a desire to create a great impression for our organization
- Multi-project coordination skills; be comfortable shifting gears and prioritizing tasks
- Organized and self-motivated with a commitment to accuracy and attention to detail
- Strong administrative skills and technologically savvy – be sure to let us know what programs you have advanced level skills in!
- Excellent written and verbal communication skills
- Professional, tactful and understand the importance of confidentiality and discretion
- Approachable and energetic with a positive attitude
Other Things You Should Know:
- As a full time, permanent position (40 hrs/week) the normal working hours are Monday to Friday, 8:30am – 4:30pm; cyclical and/or occasional early mornings, evenings or weekends will be required
- This role is based on-site at Peterborough Regional Health Centre
- The following are required:
- A valid driver’s license and access to a vehicle
- Successful Criminal Record & Judicial Matters police check
